Position Summary

Manages staff to meet the business of objectives of the Accounts Receivable, Accounts Administration and/or AP (banking) departments associated with Broadspire and US Services. This includes receiving all incoming checks and timely depositing to appropriate account, managing daily cash activity, to include all monetary banking transactions for Loss Fund, tracking deposits for all accounts, and correctly applying cash to client invoices for both Service Fee and Loss Fund. This also includes ensuring proper client set up, billed and unbilled accounts receivable balances, and managing internal controls over several client accounting processes.

Responsibilities

  • Finance & Treasury
    • Maintains effective internal controls over banking, accounts receivable, accounts administration and accounts payable, while also enhancing existing design, documentation, and operation of controls as needed.
    • Provides assistance to operations personnel and clients with accounts receivable account set up and treasury related inquiries.
    • Responsible for cash suspense account reconciliations as well as maintaining the book to bank reconciliation in Peoplesoft for all Loss Fund and corporate lockbox accounts.
    • Frequent interaction with Account Executives and clients as well as branch personnel to resolve any monetary transaction issues.
    • Frequent interaction with finance and business unit management regarding cash application and/or cash transfers internally and externally.
    • Frequent interaction with Account Executives and clients to determine billing needs and our capacity to provide solutions for those clients.
    • Monitor outstanding receivables to ensure balances are being collected in a timely manner and escalations occur as needed.
    • Responsible for coordinating and reviewing journal entries for billing and accounts receivable for US Services and Broadspire on a monthly basis.
    • Coordinates special projects, reviews and analyses for issues raised by senior management.
    • Leads staff assistance during annual audit and quarterly reviews by internal and external auditors.
    • Responsible for monthly reporting to senior management on various financial measures.
    • Ensures policies and procedures meet the organization's objectives, needs, and regulatory body requirements.
    • Serve and manage Treasury functions for specific client account funds, handling dedicated client funds in treasury capacity.
    • Performs analysis to understand variances in bank balance deposits to assist Treasury in optimizing cash flow forecasting.
    • Management responsibility for daily book to bank reconciliations for Loss Funding impacting customer bank balances.
    • Ensure company compliance with NACHA rules and regulations related to ACH payments.
    • Assist the Director of Client Accounting and VP Client Accounting as needed on projects related to both the financial systems and operations claim systems.
    • Timely Initiate bank transfers internally and externally for dedicated client funds.
    • Timely initiate bank transfers for company funds.
    • Treasury decision making responsibility for company and client assets.
    • Minimize leakage and potential risk for fines related to treasury functions for client account funds.
    • Direct meetings with IT to troubleshoot and resolve technical issues that impact Treasury functions, transfer of funds and transfers.
    • Facilitate and lead meetings with IT on enhancements to the financial systems as well as claim systems.
    • Testing of financial systems and enhancements in support of Treasury functions, including not limited to support of SOX requirements.
    • Heavily engaged in audit process, providing key data, expertise and training regarding treasury functions and audit processes.
  • Staffing & Management
    • Manages subordinator staff in the day-to-day performance of their jobs.
    • Recruits, screens, interviews, hires, trains, and mentors staff.
    • Determines staffing needs for assigned team.
    • Develops, recommends, and implements work methods and procedures, especially as required to promote efficient operations.
    • Resolves technical or administrative problems and issues which arise; initiates appropriate follow-up action.
    • Maintains appropriate records and documents for department/unit.
  • Upholds the Crawford Code of Conduct.

Requirements

  • Bachelor’s degree in Accounting, Finance, Business or a directly related field.
  • 5 years of progressively responsible professional accounting experience; or an equivalent combination of training and experience.
  • 5 years of experience in Treasury, AP and/or Accounts Receivable.
  • 1-3 years supervisory experience, preferably.
  • Certified Public Accountant is preferred.
  • Must complete continuing education requirements as outlined by Crawford Educational Services.
  • Thorough understanding of accounting systems and data processing concepts.
  • Ability to define, investigate and resolve complex problems with IT resources.
  • Excellent understanding of department/unit workflow processes.
  • Theories, principles and practices of general accounting and methods of financial control and reporting, and generally accepted accounting principles.
  • Internal control and audit principles and practices.
  • Principles and practices of business data processing particularly related to the processing of accounting and financial information.
  • Principles and practices of sound business communication.
  • Principles and practices of effective management and supervision.
  • Corporate functions and associated accounting, financial management and reporting issues.
  • Understand, interpret, explain and apply corporate policies.
  • Develop and implement financial procedures and controls.
  • Perform complicated mathematical calculations and analyses.
  • Prepare clear, concise and comprehensive reports and written materials.
  • Exercise tact and diplomacy in dealing with sensitive, complex and confidential issues.
  • Excellent knowledge of PC software and ERP computer applications used in department/unit.
  • Knowledge of human resources policies and procedures.
  • Understanding of record-keeping/archival needs of department.
  • Establish and maintain effective working relationships with all levels of corporate management, external auditors and others encountered in the course of work.
  • Good understanding of unit mission and objectives.
  • Excellent interpersonal skills.
  • Solid Organizational ability and leadership skills.
  • Excellent verbal and written communication skills.
